In words

A bookkeeper records a business's money coming in and going out. That means entering and checking invoices, receipts and bank transactions, matching them to the bank statement, running payroll, tracking what customers owe and what the business owes, and preparing the records that an accountant or tax authority needs. The primary gradient is Organization, since the work turns a shoebox of papers or a feed of bank transactions into accounts that are complete and correct. Auditing and measuring come from the checking: a bookkeeper looks for what does not match and works out why.

Called a bookkeeper in the US, Canada, the UK, Ireland and Australia. In some countries it overlaps with accounts clerk or accounts assistant roles in a larger company, where the job is narrower, such as accounts payable or payroll. A bookkeeper is different from an accountant, who takes the records and prepares final accounts, tax returns and advice. Many bookkeepers work for several small businesses at once, either self-employed or through an accountant's practice.

There's a guide here if you want one

Kitsune can talk through anything on this page — whether it might suit you, what to do next, questions this page doesn't answer. Everything here is yours to read either way.

Accuracy is the entire job, and a small mistake can carry through to a wrong tax figure. The work follows the calendar of other people's deadlines, so clients who send their papers late create a rush at the end. Cloud software now reads receipts and suggests how to code transactions, which removes much of the typing and leaves checking, explaining and spotting what does not look right. Bookkeepers who talk well with small-business owners, and explain what the numbers mean, are the ones who earn more and are kept. Pay varies by country, experience and whether the bookkeeper is employed or self-employed, so check local figures.

Routes include learning on the job as an accounts assistant, a short bookkeeping certificate (typically three to twelve months), or study toward an accounting qualification while working. Some countries have recognised bookkeeping certificates and professional bodies, and some regulate parts of the work, such as payroll or tax filing, so local rules apply. A comfort with numbers and with accounting software is needed. From here people move to senior bookkeeper, accounts supervisor, payroll specialist, accounting technician and, with further study, accountant. Others become self-employed with a small client list.
